1 What is DPM Appuntamenti

The system is made up of three parts working on the same calendar:

Each practice has its own separate workspace: your data is never mixed with that of other users of the app.
2 Creating your account (free, in one minute)
  1. Open the app and tap «Don't have an account? Create one for free».
  2. Enter the name of your practice (e.g. "Studio Rossi Fisioterapia"), your email and a password of at least 8 characters.
  3. You receive a 6-digit verification code by email: enter it in the app.
  4. Done: you go straight into your calendar, empty and ready.

The code is valid for 30 minutes. If it doesn't arrive, check your spam folder and use «Send another one». The sender is noreply@dpmsoftware.it.

Whoever creates the account is the owner of the practice: they will be able to invite team members (section 11) and manage all the settings.

3 Signing in and forgotten password

From the start screen, sign in with your email and password. If you have enabled two-step verification, the app also asks for the 2FA code.

Forgotten your password? Tap the link of the same name below the Sign in button:

  1. Enter your email → you receive a 6-digit code (valid for 30 minutes).
  2. Enter the code and your new password (twice).
  3. You return to the login screen with your email already filled in: sign in with the new password.
⚠️
For security reasons the system does not reveal whether an email is registered or not, and after 5 incorrect codes you must request a new one.
4 Pairing with the management system (optional)

If your practice also uses the NOX management system on a computer, you can connect your iPhone without creating a new account:

  1. From the management system: Patient Calendar → ⚙️ → generate the pairing code.
  2. In the app tap «Do you have a pairing code from the management system?» and paste the code.
  3. Set the unlock PIN requested each time the app is opened.

The paired device sees only the calendar of the chosen workspace, with edit or read-only permission depending on how the code was generated.

ℹ️
If you created your account directly from the app (section 2), you do not need this step.
5 Navigating the calendar
  • Day strip: swipe horizontally with your finger to move from one day to another; vertically for the hours. Rotating the phone shows several days side by side.
  • Date bar: the arrows change the day, Today returns to the current date, and the date field opens the calendar to jump to any date.
  • The red line marks the current time in today's column.
  • Past days show the list of the day's patients (with any documents issued) instead of the grid.

The calendar refreshes on its own every few seconds: changes made from the management system or by a team member appear without having to reload anything.
6 Creating an appointment

Tap an empty slot in the grid at the desired time, or the button at the bottom right. In the form:

Tap Save: the appointment appears immediately on the calendar, coloured according to its type.

7 Editing, moving, deleting
  • Edit: tap the appointment → the form opens with all the fields.
  • Move: press and hold, then drag the appointment to another time or another day (the columns are highlighted in green).
  • Change duration: drag the top or bottom edge of the box.
  • Delete: open the appointment → Delete.
  • Cancel with notice: open the appointment → «✕ Cancel and notify the client» — the appointment changes to Cancelled and, if the client left an email address, they receive the cancellation notice.
8 Types and colours

Types are the categories of your appointments (e.g. First visit, Follow-up, Treatment…). Each one has a colour, duration and price, and determines whether it can be booked online.

They are configured in ⚙️ Settings → types section: add, rename, choose the colours, the duration in minutes, the price (optional) and the «online» switch.

The «Cancelled» type always exists: use it to re-categorise a cancelled appointment without deleting it.
9 Blocking out times and lunch break

Blocked-out slots cannot be booked online (and remind you that you are not seeing clients then). To manage them use the button in the date bar:

  1. Tap to activate block-out mode.
  2. Drag on the grid to create a block (the first thing you touch determines the kind: Blocked or Lunch break).
  3. Tap an existing block to delete it.
  4. Tap again to exit the mode.
ℹ️
A block-out stops online bookings only: from the practice you can still place an appointment there manually — the app just asks you to confirm.
10 Schedule: the practice's opening hours, automatically

Instead of blocking out times by hand day by day, the P button (at the top) generates the block-outs for entire weeks based on your criteria:

  • Opening hours for each day of the week, lunch break included;
  • Closing days, public holidays, holidays;
  • Saved profiles (e.g. "summer hours" / "winter hours") to recall instantly;
  • Number of weeks to schedule ahead.

Tap Schedule and the calendar fills up with the right blocks. If you are not happy with the result, Undo scheduling restores the previous situation.

⚠️
The Schedule applies to the whole practice: the generated block-outs stop online bookings for all practitioners.
11 Inviting team members

The owner can bring other people into the same practice, each with their own login:

  1. Go to ⚙️ Settings → 👥 Team members.
  2. Enter the team member's email and choose the permission: ✎ can edit or 👁 read-only.
  3. The team member receives an email with a 6-digit code (valid for 7 days).
  4. From their iPhone: they open the app → «Have you received an invitation?» → enter their email, the code and choose their password → they go straight into the practice's calendar.

From the same screen the owner sees the list (👑 owner, ✎ edit, 👁 read), can revoke invitations not yet accepted and remove team members.

ℹ️
Anyone with read-only access can consult the calendar but cannot create, edit or delete anything: the restriction is enforced by the server, not just by the app.
12 Calendar per practitioner (multi-user)

When the practice has at least 2 active users, the app automatically enables separate calendar management:

  • The calendar filter appears in the date bar: «👥 Everyone» or the individual practitioner;
  • The Practitioner field appears in the appointment form (suggested automatically: the filtered calendar, otherwise you);
  • The initials of the assigned practitioner appear on the cells;
  • On the online booking page the client chooses a «Practitioner» and sees only that calendar's availability.

This way two practitioners can see clients in parallel at the same time: one's appointment does not occupy the other's calendar.

⚠️
An appointment without an assigned practitioner («Whole practice») occupies everyone's calendar — just like blocks and closures. That is the right behaviour for practice-wide commitments.
13 Online booking: activating and customising it

Everything is configured from ⚙️ Settings (from the app or the management system):

  1. Turn on the «Enable online booking» switch. While it is off, the page replies «not available».
  2. Customise the brand: practice name, logo, title colour, footer note (e.g. contact details and instructions for clients).
  3. Check the types: only those with the «online» switch turned on can be booked by clients, with their duration and any price shown.
  4. If you see clients at multiple locations, configure the locations and the time bands per day: the client will choose the «Location» and see only the right times for that location.
💡
The bookable slots (shown in green to the client) are those that are free and not blocked out: the Schedule (section 10) is the quickest way to define once and for all when you can be booked.
14 The link to share and the button for your website

With booking enabled, two ready-to-use tools appear in ⚙️ Settings:

  • Link to give to your clients — the public address of your page (e.g. https://www.gnox.it/prenota/?studio=il-tuo-studio). Tap Copy and paste it wherever you like: WhatsApp, Instagram, Google profile, business cards, email signature…
  • «Book now» button for your website — a small ready-made HTML snippet: copy and paste it (or pass it to whoever manages your website) at the point of the page where you want the button. Anyone who clicks it lands directly on your booking page.
ℹ️
You don't need a website: the direct link works everywhere, right away. The button is just an extra for those who have one.
15 How clients book

The page is designed so that anyone can manage it at the first attempt:

  1. They choose the appointment type (with duration and price, if set), the practitioner if applicable, and the location.
  2. They see the calendar: green = bookable, red = taken, stripes = pending confirmation, grey = not available.
  3. They tap a green slot and fill in: first and last name, phone number (required), email (optional), notes.
  4. They accept the privacy notice (viewable with one tap) and submit.
  5. They receive an on-screen confirmation and, if they left an email address, a summary by email. The request remains pending confirmation by you.
ℹ️
Green already takes into account the duration of the chosen type: the client cannot book where there is not enough room, nor at times already gone by. The page refreshes on its own every 20 seconds.
16 Handling incoming requests

Every online booking appears on your calendar in red stripes (pending) and you receive a notification email with all the client's details. You have two options:

  • From the app: tap the request → ✓ Accept (the client receives the confirmation email, if they left an email address) or ✕ Decline (they receive the cancellation).
  • From the notification email: the «✅ Confirm and reply on WhatsApp» button confirms the appointment and opens the client's WhatsApp chat with the confirmation message already written: you check and send.

The WhatsApp message text can be customised in Settings, with the {data}, {ora}, {tipo} and {costo} placeholders that fill themselves in.

Emails to your clients are sent via the SMTP configured in your practice's parameters: if it is not configured, email confirmations are not sent (the WhatsApp route always remains available).
18 Google reviews

If in Settings you enter the review link of your Google listing, after each visit you can ask for a review with one tap:

  1. Open the completed appointment → ⭐ Ask for a review.
  2. The client's WhatsApp chat opens with the (customisable) message and the link ready to go: you check and send.
  3. The button is marked as «already requested» to avoid double sends (manual re-sending remains possible).
ℹ️
If WhatsApp is not installed on the device, the web version of WhatsApp opens automatically in the browser.

20 Privacy and account deletion
  • Data resides on servers in the European Union, in a separate space for each practice, with communications always encrypted. The app contains no advertising or tracking.
  • The full privacy notice is always reachable from the sign-in and registration screens, and online: gnox.it/assets/privacy/dpm-appuntamenti.html.
  • For your clients' data you remain the data controller: on request, a data processing agreement (DPA) is available by writing to info@dpmsoftware.it.
  • Delete everything: ⚙️ Settings → Delete my account and all data (password required). Deletion is final and irreversible.
21 Frequently asked questions
The client can't find any green slots. Why?
Either the calendar is genuinely full, or the times are blocked out (⛔/Schedule), or the chosen type has a duration that doesn't fit in the remaining slots. Also check that online booking is enabled in Settings.
I confirmed from my phone but the client didn't receive the email.
The client only receives the email if they provided one at booking time (it is optional). Alternatively use the WhatsApp confirmation: it works with just the phone number, which is required.
A team member needs to see the calendar but not touch it.
Invite them with «read-only» permission (section 11). They will be able to view everything, but any change will be rejected by the server.
There are two of us in the practice but I don't see the practitioner filter.
The filter appears when there are at least 2 active users: check that the team member has accepted the invitation. Close and reopen the app after acceptance.
I made a mistake scheduling the calendar.
Use «Undo scheduling» straight away: it restores the blocks as they were before the last run of the Schedule.
I forgot my password.
From the login screen tap «Forgotten your password?»: you receive a code by email and choose your new password (section 3).
I'm changing iPhone: will I lose anything?
No. Your data lives on the server: install the app on the new phone and sign in with your email and password (or with a new pairing code). You will find everything just as you left it.
Can I also use the calendar from a computer?
Yes: the same account works on the web management system, with the same calendar always synchronised. Ask DPM Software House for activation if you don't see it.
